Terms and Conditions for Vendors and Exhibitors at the Lancaster Lock Show

1. Acceptance of Terms: By registering for and participating as a vendor at the Lancaster Lock Show (hereafter referred to as “the Show”), you agree to abide by the following terms and conditions. Rail Relic Events, LLC (hereafter referred to as “the Organizer”) reserves the right to make changes to these terms as necessary.
2. Vendor Space: Vendor spaces are allocated on a first-come, first-served basis. The Organizer will make every effort to accommodate specific location requests but cannot guarantee placement.
3. Payment: Payment for the vendor space must be received in full by the specified deadline. The Organizer reserves the right to cancel and reassign any unpaid space after this deadline. Payments are non-refundable except in the case of event cancellation by the Organizer.
4. Product Display: Vendors are responsible for arranging their displays to meet fire, safety, and accessibility requirements. All products and signage must fit within the allocated space.
5. Permissible Goods: Only products related to the theme of the event are allowed. The Organizer reserves the right to remove items deemed inappropriate or in violation of the event’s policies.
6. Setup and Breakdown:
• Setup time will be communicated in advance. Vendors must be fully set up by the official start time of the Show.
• Breakdown cannot begin until the official end time of the Show. Vendors who leave early may forfeit their eligibility for future events.
7. Security: While security may be provided during the Show, the Organizer is not responsible for the loss or damage of any goods, equipment, or personal items. Vendors are encouraged to have their own insurance.
8. Compliance: Vendors must comply with all local, state, and federal laws, including obtaining any necessary licenses or permits for their operations.
9. Liability: The Organizer is not liable for any injury, loss, or damage that may occur to vendors or their property, employees, or customers due to participation in the Show. Vendors shall indemnify and hold harmless the Organizer from any claims arising from their participation.
10. Health and Safety: Vendors agree to follow any health and safety guidelines set forth by the Organizer and local authorities, including guidelines related to sanitation, crowd control, and public health.
11. Force Majeure: The Organizer is not liable for any delay or failure to perform resulting from circumstances beyond its control, including but not limited to natural disasters, acts of God, or government regulations.
12. Termination: The Organizer reserves the right to terminate any vendor’s participation without refund if they are found to be in violation of these terms and conditions or for any behavior deemed inappropriate.
13. Dispute Resolution: Any disputes arising from these terms and conditions or participation in the Show shall be resolved through binding arbitration in accordance with the laws of the state where the Show is held.
14. Tax Compliance: Vendors agree to abide by all local, state, and federal tax laws. They are solely responsible for collecting, reporting, and remitting any applicable taxes, including but not limited to sales and use taxes, resulting from their participation in the Show. Vendors shall provide the Organizer with any relevant tax identification numbers or permits if required by law. The Organizer is not responsible for any tax obligations arising from vendor sales.
